About the Office Manager Role
As our Office Manager, you will be the central point of coordination for our day-to-day operations and a key ambassador of Talenteria’s culture. You’ll own the smooth running of our office environment, support leadership and team members with administrative and operational needs, and help ensure our hybrid teams are productive, informed, and engaged. This role is ideal for a highly organized professional who enjoys solving problems, improving processes, and creating a positive, efficient workplace.

You will manage office logistics and vendor relationships, coordinate meetings and company events, support HR and Finance with essential administrative processes, and serve as a go-to resource for employees’ operational questions. - Ensure the smooth day-to-day operation of the office, including workspace readiness, supplies, equipment, and general facility upkeep
- Act as the primary point of contact for office-related vendors and service providers, including negotiating contracts, tracking service levels, and resolving issues
- Coordinate in-office and virtual meetings, including scheduling, room or platform setup, catering, and logistical support for leadership and cross-functional teams
- Support HR with administrative tasks such as onboarding logistics, collecting and organizing employee documentation, and maintaining up-to-date contact and organizational information
- Assist Finance and Operations with invoice processing, expense reports, purchase orders, and basic budget tracking for office-related costs
- Develop, document, and continuously improve office policies, procedures, and operational workflows to increase efficiency and consistency
- Organize and help execute company events, team-building activities, and culture initiatives to foster engagement and collaboration across on-site and remote employees
- Manage incoming and outgoing mail, deliveries, and shipments, ensuring timely routing and communication to relevant stakeholders
- Serve as a go-to resource for employees on office operations, tools, and processes, providing prompt and solution-focused support
- Monitor and maintain compliance with health, safety, and security guidelines within the office environment, escalating risks or incidents as necessary
- 3+ years of experience in office management, administrative coordination, or operations support, preferably in a tech, SaaS, or professional services environment
- Strong organizational and time-management skills with the ability to prioritize and manage multiple tasks and deadlines
- Excellent written and verbal communication skills, with a professional and service-oriented approach
- Proven experience managing vendors, office supplies, and facility-related services within defined budgets
- Proficiency with productivity and collaboration tools (e.g., Google Workspace or MS Office, Slack, Zoom, project/task management tools)
- Basic understanding of HR and Finance administrative processes (e.g., onboarding support, document management, invoice processing, expense tracking)
- High level of discretion and integrity in handling confidential information and sensitive topics
- Demonstrated ability to work independently, take initiative, and proactively identify and solve operational issues
- Experience organizing team events, meetings, or company-wide activities in an office or hybrid setting
- Bachelor’s degree in Business Administration, Management, or a related field, or equivalent practical experience
